I am trying to determine what would be a minimum staff per the size of a facility. Small facilities might get everything done with one person. As the square footage becomes larger, at what point will the need for a part time person be required? When a facility is large enough staff will require a full time person and possibly a maintenance person. I am hopeful that with enough response a staffing formula will emerge that everyone will find useful.

One important consideration is your monthly turnover.....here we seem to be in an extremely transient area, and we move in about 70 units a month, and move out about 55 or 60, with the highest amount of move-in's and move-out's occuring at the beginning of the month. Our rent is also due the first of the month, so we have a lot of people moving out at month end to keep from paying the next month's rent.
Our previous facility, the rent was due on the anniversary of the move-in date, so people moved in and out more evenly throughout the month, and also the turnover rate wasn't nearly so high. Both move-in's and move-outs are time and labor consuming. So I would think it isn't the size of the facility so much that determines staffing, as it is the # of ins and outs you have every month. We have other facilities in our company that have hundreds of more units (we have 661), but their turnover is MUCH lower each month. |

Thanks Lisa, your information is very helpful. How many managers, assistants and maintenance staff are needed for the 661 units. You have other facilities with hundreds more units, what is the number of staff needed for that size?

We have 650 units under 66,000sq/ft -- our staff consists of myself and my wife as managers and one assistant to cover for our days off.
This is a 20 year old facility -- I provide the bulk of the maintenance. The only time we bring in outside help is if it is a large job - like last year when we had the place repainted.

We have six stores. Store sizes vary from 45,000 sq ft to 100,000 sq ft. We have one full time manager at each store that works Mon-Fri 830-530. We also have one full time floating assistant manager that works at all the stores when needed. Our managers still have plenty of downtime.

I believe there was a survey conducted by ISS about a year ago that attempted to data base information like staffing.
I believe that the answer to staffing lies in the job requirements. Obviously rentable square feet, amenities, hours of operation and tasks need to be factored in. A simple task list can be created in excel and the hours/minutes per day/week entered next to each task. You would be surprised how lengthy the list gets. Our Facility has 672 units and 82,500 sq ft. My fiancee and I are the managers (live on site) and there is one relief manager for all the Louisville Stor All's, she usually works when the Resident Managers have their off days. The bulk of the maintenance & rentals, payments etc are on us. We get 1 day off per week and we are open M-F 8a-6p Sat 8a-4p even Sun 1p-5. being open sundays is pretty good we get a few on Sundays because most other places aren't open at all.
